Retreat Terms & Conditions of Booking

Please read and understand my Terms & Conditions as detailed below before booking your Retreat with Rachel @ Calm in the City. When you make your booking, and as part of the booking process you agree to these Terms & Conditions.

1) Your booking is a contract

When you (sometimes referred to as a “retreat guest” "yogi" or a “client”) book a Retreat with Rachel Cross of Calm in the City (sometimes referred to as “I”, "we", “me”, “my”, or “us”), you will be deemed to have agreed to these Terms & Conditions. Your booking constitutes a contract between you and Rachel Cross of Calm in the City. The person making the booking (“retreat guest”) must be at least 18 years of age and authorised to do so.

2) Deposit and Payments

To confirm your booking for the Retreat, you will be required to either:

a)    Pay the full cost of the Retreat at time of booking (this includes a NON-REFUNDABLE DEPOSIT OF £125.00).

Or

b)    Pay a NON-REFUNDABLE DEPOSIT OF £125.00 at time of booking and then either pay the remaining outstanding balance in full no less than 90 days before the commencement of the Retreat or pay the remaining outstanding balance by 3 instalments of £90.00, the last instalment being made no less than 90 days before the commencement of the Retreat.

Or 

c)    Pay a NON-REFUNDABLE DEPOSIT OF £125.00 at time of booking and then either pay the remaining outstanding balance in full no less than 90 days before the commencement of the Retreat or pay the remaining outstanding balance by 6 instalments of £45.00, the last instalment being made no less than 90 days before the commencement of the Retreat.

If your booking is made within 90 days of the commencement of the Retreat, then you will be required to pay the full cost of the Retreat upon booking.

If you choose to pay a deposit and then the remaining balance either by instalments or the remainder of the cost of the Retreat in full and your final or full payment is not received on or before the due date of payment, I reserve the right to treat your booking as cancelled.

3) What is included in the Retreat price

Sole or shared occupancy accommodation (en-suite) in How Hill House for 2 nights

All meals from Friday evening to Sunday lunch (breakfast, lunch, evening meal) plus teas, coffees and fruit throughout the day.

All Yoga Sessions, Workshops, Meditations and Soundbath experience.

4) Cancellation by you (retreat guest)

If you wish to cancel your place on the Retreat, you may do so at any time up to and including the 90th day before the commencement of the Retreat. In this instance, I will refund all amounts paid by you to me, minus the initial NON-REFUNDABLE DEPOSIT of £125.00.

If you cancel your Retreat booking less than 90 days prior to the commencement of the Retreat or you fail to come to the Retreat, you will not be entitled to any refund.

Bookings for Retreats are NON-TRANSFERRABLE unless you can find a replacement.

It is strongly advised that if you do not have it already, that you purchase adequate Travel Insurance.

5) Cancellation by Rachel Cross of Calm in the City

I reserve the right to cancel the Retreat at any time. In this circumstance you will receive a full refund of all monies paid to Rachel Cross of Calm in the City. In addition, I reserve the right to cancel the Retreat at any time if, due to natural disaster, political instability or other disruptions and/or circumstances beyond my control (“force majeure circumstances”) would deem the running of the Retreat to be unsafe or otherwise unviable. In the event that the Retreat is cancelled due to a “force majeure circumstance”, I will do my best to re-schedule the Retreat to a time that suits the Retreat location, me and the Retreat attendees. If this is not possible, you will receive a refund equal to the monies paid by you to Rachel Cross of Calm in the City minus any costs incurred by me which are not recoverable.

It is strongly advised that if you do not have it already, that you purchase adequate Travel Insurance.

6) Travel Insurance

I strongly advise that all Retreat Guests purchase adequate Travel Insurance in relation to the Retreat to cover them in the event of sickness, cancellation or curtailment. While the cover provided by travel insurance varies depending on the type of policy you purchase, as a general rule, travel insurance may provide cover for a number of losses which a client may incur in relation to a booking; including losses related to trip cancellation, illness, injury, theft, lost or damaged property etc…

Please be aware that except for the refund rights outlined in sections 4 & 5 above, each Retreat Guest is responsible for any losses, penalties, fees or other financial loss incurred arising out of booking the Retreat or the cancellation or interruption of. I urge you to check any existing Travel Insurance you may have to ensure that it covers you adequately and/or to purchase the appropriate level of insurance if you do not have any.

7) Minimum number of attendees

There needs to be a minimum of 8 attendees booked on to the Retreat in order for it to go ahead. If the minimum number of attendees is not met, I will cancel the Retreat giving no less than 30 days notice and you will be entitled to a FULL refund of ALL monies paid to me by you, including your initial deposit.

8) Itinerary

It is not anticipated that there will be the need for any changes to be made to the advertised itinerary; occasionally circumstances arise which may mean that alterations to timings and type of activity need to be made. In these circumstances I will endeavour to give as much notice as possible to any proposed changes and keep as close to the original itinerary as is possible.

9) Advertising on Social Media and Website

The information provided for the Retreat on my website, social media accounts and any promotional material is true and to the best of my knowledge and is correct at the time of publishing. Occasionally errors may occur and information may be subject to change; please therefore check you are happy with all of the details at the time of booking. 

10) GDPR (General Data Protection Regulation)

On May 25th 2018 the new General Data Protection Regulation (GDPR) came into effect with the aim of giving you greater control over your personal data. I collect, use, store and process your personal data in the following ways:

· If you give me the following information, I have a Lawful Basis for storing and processing this: your e-mail address, telephone number, medical information. I have a Contractual Reason to do so, e.g. to provide a product or service (complementary therapy, yoga class, workshop or retreat) to you.

· I also have a Legitimate Interest to collect, use, store and process your information when I ask you complete an Health Questionnaire or Consultation Form, as I am duty bound to protect you during a Yoga Class and make necessary adjustments to meet your needs and also when I am providing treatments, to ensure that I am working in conjunction with your needs. 

· I do not share your personal information with any third parties without your explicit consent to do so, e.g. contacting your GP to check if you are suitable for Complementary Therapy or to take a Yoga Class. 

· I will continue to hold your personal data for a period of 7 years unless you ask me to destroy it before then. You have the right to complain to the ICO if you feel there is a problem with the way in which I hold your data.

11) Changes to these Terms & Conditions

I may need to make changes to these Terms & Conditions from time to time, if this is the case, I will forward you a copy of the updated Terms & Conditions in due course.
